1. Who We Are
WaqfDesk is developed and operated by SYSVORA SYSTEMS, a software company based in Vadodara, Gujarat, India. We build ERP software for Waqf Trusts and charitable organizations. For privacy inquiries, contact us at sysvorasystems@gmail.com.
2. What Data We Collect
Account & Organization Data
Organization name, type, registration number, city, state, admin name, email address, and phone number — collected during registration to set up your account.
Operational Data
Property records, tenant details, rent transactions, income/expense entries, legal case records, and letters — entered by your staff through the application. This data is yours.
Usage Data
Login timestamps, browser type, IP address — collected automatically for security and session management. Not shared with third parties.
3. How We Use Your Data
- ✓ To provide and operate the WaqfDesk application for your organization.
- ✓ To send account-related emails (OTP, password reset, billing alerts).
- ✓ To troubleshoot technical issues when reported by users.
- ✓ To improve the software based on aggregate (anonymized) usage patterns.
We do not use your data for advertising, profiling, or any purpose beyond operating the software.
4. Data Sharing & Disclosure
SYSVORA SYSTEMS does not sell, rent, or share your data with:
- ✗ Any Waqf Board (State or Central)
- ✗ Government of India or any state government
- ✗ Religious authorities or third-party organizations
- ✗ Marketing companies or data brokers
The only exception is legal compliance: we may disclose data if required by a valid court order or law enforcement request under Indian law. We will notify affected users where legally permitted.
5. Data Security
- • All data is transmitted over HTTPS (TLS encryption).
- • Passwords are hashed using industry-standard algorithms (never stored in plain text).
- • Servers are hosted in India with regular security updates.
- • Database backups are encrypted and stored separately.
- • Access to production systems is restricted to authorized SYSVORA SYSTEMS engineers only.
6. Data Retention & Deletion
Your data is retained as long as your account is active. Upon subscription cancellation:
- • You can export all your data (CSV / PDF) at any time before cancellation.
- • Data is retained for 90 days after cancellation for recovery purposes.
- • After 90 days, all organization data is permanently deleted from our servers.
7. Your Rights
As a WaqfDesk user you have the right to:
- ✓ Access all data stored for your organization.
- ✓ Export your data in machine-readable formats at any time.
- ✓ Request correction of inaccurate account information.
- ✓ Request deletion of your account and all associated data.

8. Cookies
WaqfDesk uses cookies solely for authentication (keeping you logged in). We do not use tracking cookies, advertising cookies, or analytics cookies from third-party services.
9. Changes to This Policy
We may update this Privacy Policy from time to time. Significant changes will be communicated via email to account holders. Continued use of WaqfDesk after changes constitutes acceptance of the updated policy.
